Events Terms & Conditions

All reference to “Rough Ride Guide” refers to Rough Ride Guide Ltd 

1. Period of sale:

1.1. Event entries are on sale from Event launch until the quota of entries and extra-services packages for sale are reached.

1.2. Rough Ride Guide reserves the right to organise a waiting list in order to propose entries / extra-services packages in case of Client cancellation.

1.3. Entries are sold on a first come, first served basis.

2. Event Entries

2.1. To place an order the Client must be 18 years of age on or before the start date of the Event.

2.2. Client may place an Event order by purchasing places online through the Rough Ride Guide website only:

2.3. By placing an order the Client accepts these terms and conditions.

2.4. Whilst Rough Ride Guide will make every effort to supply the Client with the Products listed on the Rough Ride Guide website, there may be occasions where Rough Ride Guide is unable to supply these Products. In such circumstances, Rough Ride Guide will contact the Client to inform him/her and may suggest alternative Products that the Client might wish to purchase.

3. Payment

3.1. Rough Ride Guide Event entries are only in £ sterling only. 

3.2. All Event balances must be paid in full before the participant can ride the event.

4. Registration Conditions

 By entering the Event the Client agrees to the listed Rules and Regulations.

5. Client Cancellation

Event entries and extra-services / upgrades are only refundable or transferable in the following circumstances:

5.1. Substitution: If for any reason a Client is unable to attend he/she is able to nominate a substitute for the entry. Substitutions are available up to 30 business days prior to the Event start date. All extra-services / upgrades purchased as part of the entry must be transferred to the new Client. No partial refunds will be issued for transferred entries, extra-services / upgrades.

5.1.2. Substitution can only happen once per entry.

5.2. Refund: Rough Ride Guide will refund the Client as follows:

13+ weeks before the Event start date: 100% refund of the full entry fee paid 

4-12 weeks before the Event start date: 66% refund of the full entry fee paid 

0-4 weeks before the Event start date: 0% refund of the full entry fee paid 

5.3. Deferment: Subject to availability, Clients are entitled to defer to another Rough Ride Guide Multi-Day Event in the same, or following calendar year:

5.3.1. The client is only able to request a deferral up to 12 weeks before the start date of the registered Event.

5.3.2. Both the full entry fee including any extra services and upgrades can be credited towards another Event.

5.3.3. The Client can only request a deferral once. If the Client then decides to cancel the subsequent Event they are not entitled to any refund.

5.3.4. The Client will need to pay for any balance in entry price of the deferred Event against the full entry price of the new Event.

5.3.5. Rough Ride Guide will not refund any balances if the new Event costs are less than the original Event.

5.3.6. Any Clients deferring to 2021 dates due to 2020 Event postponement by Rough Ride Guide are not subject to 2021 Event Refund timelines as per Section 5.2.

6. Insurance

6.1. Rough Ride Guide requires each Client to book personal travel insurance for loss, injury or damage that he/she might sustain arising from participation in the Event. Rough Ride Guide will request policy information at the time of Client booking.

6.2. Rough Ride Guide recommends third party cancellation insurance packages for Clients at point of booking.

6.3. Rough Ride Guide recommends the Clients have bike insurance for cover during the event. If a Client takes advantage of the Bike Repatriation option they do so understanding that whilst every care is taken when transporting bikes, the risk and responsibility of adequate insurance is that of the owner

7. Rough Ride Guide Cancellation

7.1. If Rough Ride Guide cancels the Event for circumstances other than listed in Section 8. Force Majeure Rough Ride Guide shall return the full amount of any deposits and pre-payments to the Client made according to the amount invoiced to the Client. No compensation will be given to the Client for other costs (direct or indirect) related to the Event entry (transportation fee, accommodation (if not booked with Rough Ride Guide),family expenses (travel, hotels),except linked to a Friends & Family product offered by Rough Ride Guide.

7.2. In the instance that Rough Ride Guide has been forced to postpone the event due to the COVID-19 pandemic the Client will be automatically transferred to the revised date. Should the Client not be able to make the revised date they may use their entry, including any optional extras purchased, as a credit against any Rough Ride Guide Multi-Day Event in 2021 or 2022. Rough Ride Guide will not refund any balances if the new Event costs are less than the original Event. The Client will need to pay for any balance in the entry price of the postponed Event against the entry price of the new Event should there be one. Should the credit not be used by 1 July 2022 the Client is entitled to a cash refund equal to the value of the amount paid for the original booking. This will be paid to the Client on the expiry date.

8. Force Majeure

8.1. Rough Ride Guide shall not be liable hereunder by reason of any failure or delay in the performance of its obligations on account of strikes, shortages, riots, insurrection, fires, flood, storm, explosions, acts of God, war, governmental action, labour conditions, earthquakes or any other cause which is beyond the reasonable control of Rough Ride Guide.

9. Privacy, data and purpose of use

10. Limitation of liability

In no event will Rough Ride Guide be liable to Clients or Third Party under this Agreement for the cost of procuring substitute goods or services, lost profits, lost revenue, lost sales, loss of use, loss of data or any incidental, consequential, direct, indirect, punitive, or special damages, whether or not such party had advanced notice of the possibility of such losses or damages.

 

WAIVER

Participants hereby acknowledge that they take part in a Rough Ride Guide Event and all functions and Events related thereto entirely at their own risk.

Participants hereby agree for themselves, their executors, administrators, heirs, next-of-kin, successors and assigns to waive release and discharge and shall neither have nor institute any claims whatsoever against Rough Ride Guide Ltd and its directors, trustees and shareholders, local provincial and national governmental authorities, participating clubs, Event sponsors and other involved organisations (‘the Entities’) and their employees, agents or contractors to the fullest extent permissible under the Unfair Contract Terms Act 1977 or any other applicable law.

Participants hereby indemnify and hold harmless the Entities and their employees, agents or contractors from all liability and claims made by other individuals or entities as a result of any of the Participant’s actions during the Event.

This waiver and indemnity covers death, disability, personal injury, damage to and loss of property of a participant (including theft of or damage to a bicycle in areas under the control of the Entities and the Individuals) and is effective whether or not such death, injury, damage or loss may have been caused directly or indirectly or wholly or partly by any act or omission including negligence, of any of the Entities or their respective servants agents and contractors and will bind the heirs, executors and/or trustees of the estate of a participant.

Persons signing this indemnity as the parent and/or guardian of a minor hereby agree to such minor being bound by the foregoing waiver and indemnity and do hereby further indemnify and hold harmless the Entities against any and all liability and claims by such minor to the extent if any to which such minor is not capable of waiving his rights as stipulated above.

Should liability be found to exist in respect of any one of the Entities for any reason then that liability shall not exist in respect of the other Entities unless specific grounds exist for liability on the part of the other Entity or Entities.

 

CANCELLATION & REFUNDS

If for any reason you need to cancel your entry there are several options available: 

You are able to nominate a substitute rider for your entry (up to 30 days before the event start date).

You may defer your entry as a credit towards another Rough Ride Guide event in the same or following calendar year (up to 12 weeks before the event start date).

You are entitled to the following refund on your entry:

13+ weeks before the Event start date: 100% refund of the full entry fee paid 

4-12 weeks before the Event start date: 66% refund of the full entry fee paid 

0-4 weeks before the Event start date: 0% refund of the full entry fee paid

If Rough Ride Guide cancels the event for any reason not listed in the conditions of sale, your entry fee is fully refundable.
If the event is postponed due to COVID-19, your entry will automatically be transferred to the new date. If you can’t make the new dates, you’ll receive a credit to use against any other Rough Ride Guide multi-day or single day event. The credit expires on 1 July 2022. If you have not used the credit by the expiry date, you’ll receive a refund equal to the original booking amount.

Note: We recommend that all riders have public liability insurance.

What happens if there is a local lockdown that affects me travelling to the event?

If the area/country where you live is under a local lockdown, we would expect you to follow the guidelines from the relevant authorities. If these guidelines include advice not to travel to another area or country, which makes your attendance impossible we will review with the intention to transfer your entry as a credit to another Rough Ride Guide event in 2021 or 2022.

What happens if I test positive or I am forced to self-isolate?

If you test positive for COVID-19 or are forced to self-isolate within 10 days of the start of the event you will need to email us at [email protected] with evidence. We will review with the intention to transfer your entry as a credit to another Rough Ride Guide event in 2021 or 2022.

 

Our COVID-Guarantee

This is designed to be as fair as possible to everyone, while also allowing us to operate our events with some certainty. Therefore, if because of individual circumstances (i.e. not something that affects the entire event) you are unable to take part you will need to contact us and provide us with the relevant evidence (e.g. Tests results, proof of contact from track and trace etc) which we will review on a case by case basis. This proof will need to be covering the mandated self-isolation or quarantine periods that are relevant to your circumstances.

What happens to the travel I have booked for an event if I can’t make it or the event is cancelled due to COVID-19?

Travel is not covered by us. We encourage everyone to take out appropriate travel insurance which includes COVID-19 cover.

What happens if the whole event is cancelled due to COVID-19?

If Rough Ride Guide is forced to postpone a Multi-Day Event in 2021 due to the COVID-19 pandemic you’ll automatically be transferred to the new date. If you’re not able to make the new date you’ll be able to use your entry, including any optional extras, as a credit against another Rough Ride Guide Multi-Day Event in 2021 or 2022. If this credit is not used by 31 July 2022 you’ll be entitled to a cash refund.

If for any reason you need to cancel your entry there are several options available: 

You are able to nominate a substitute rider for your entry (up to 30 days before the event start date).

You may defer your entry as a credit towards another Rough Ride Guide event in the same or following calendar year (up to 12 weeks before the event start date).

Postage & delivery

Prices are for UK delivery only. Please contact us for prices on overseas orders. 

We make every effort to dispatch items as soon as possible, which is usually on the same or next (working) day. Larger, heavier orders go via a courier which generally takes around 3 days, while smaller, lighter orders go via Royal Mail and generally take around 2 days to be delivered.

Please let us know if you have any special requirements, like orders to be left with a neighbour if you are out, and we will make a note on the package and hope the delivery person can accommodate the request.    

Please report any damaged items delivered to us immediately. 

Returned items, not damaged or incorrectly sent, are done so at your own cost.
